1.1 You ("the customer") are contracting with Oak Tree Hotels Ltd, trading as Stanton Manor Hotel ("the
Hotel").
1.2 You are asked to complete and sign the booking form annexed to these Terms and Conditions to indicate
your full names, addresses and other. The signed booking form should then be returned with the deposit.
1.3 Only the Hotel has the authority to amend these Terms and Conditions and any amendments must be in
writing and signed by the Senior Manager representing the Hotel.
1.4 The Hotel reserves the right to alter prices at any time without notification. However, all endeavours will
be made to inform the customer.
2.1 For a Wedding on a Saturday April – September we require a minimum of 60 guests having a 3 course
Wedding Breakfast.
2.2 For a marquee wedding we require over 80 guests having a 3 course Wedding Breakfast.
2.3 Payment for Exclusive use of the hotel includes all 23 bedrooms the night of the wedding with breakfast for
all residents.
2.4 When having a Marquee Wedding in the grounds you are required to pay for the hire of the Gallery
Restaurant and Lawn.
2.5 The Bar and Restaurant will be used by other guests unless exclusive use is taken.
2.6 We can accommodate Wedding receptions for up to 200 people in a marquee in our gardens.
2.7 The use of the Restaurant for Reception drinks is complimentary for Weddings of over 60 guests.
3.1 You are required to book and pay for Rooms 1 - 5 which are located in the main Manor House as a
minimum, even if you or your guests do not use them.
3.2 In addition to the five bedrooms in the main Manor House, all rooms booked and reserved for the wedding
guests must be guaranteed by a Credit or Debit card. No cancellation of rooms after 48 hours prior to the
arrival date will be accepted.
3.3 The use of a bedroom from 11am on the Wedding day for changing is complimentary (booking is required).
3.3 Exclusive Weddings - You are required to pay the full Exclusive charge and to take payment from your
guests. A rooming list is required four weeks prior to the Wedding date. The hotel is not responsible for
collecting bedroom payments, other than additional items purchased at hotel.
3.4 For non Exclusive Weddings bedrooms remaining unsold will be let to outside guests.
3.5 For Weddings of more than 60 guests having a 3 course Wedding Breakfast the Bridal Bedroom is
complimentary on the night of the Wedding.
3.6 For all Weddings the accommodation charge is to be paid in advance and is incorporated in the payment
instalments due 3 months & 1 month prior to the Wedding date.
4.1 The customer, the customer’s guests and invitees will not consume food and / or drink at the hotel which
has not been supplied by the hotel without written authority from the hotel.
4.2 The use of outside catering is not permitted.
4.3 Please add 3% to the sample menu prices per year.
4.4 If you choose to use your own Wedding Cake as dessert than a Cakeage Fee of £3.00 per person will apply.
This is not available on Saturday Weddings from April to September.
4.5 We recommend that you cater for at least 80% of your guests for an evening buffet.4.6 Corkage can be arranged if you prefer to bring your own wine at £11.00 for still wine and £16.00 for
sparkling (based on a 750ml bottle).
4.7 The Hotel bar will close to non-residents at 12 midnight Monday to Saturday and 11pm on a Sunday.
4.8 For Weddings where menu options are made available it is the responsibility of the Bride & Groom to
inform the Hotel of pre-orders 4 weeks prior to the Wedding. Pre-orders must also appear on each guests place
setting.
5.1 A deposit of £1000.00 is required at time of booking (non refundable)
5.2 Half wedding balance due three months prior to wedding date (non refundable)
5.3 Final wedding balance due one month prior to wedding date (non refundable)
5.4 Accommodation due on departure (unless otherwise agreed by parties or Exclusive Use)
5.5 Payment via an Amex Card has a 3% surcharge.
6.1 In the unlikely event of your wedding being cancelled, we reserve the right to charge the following
apportion if the date reserved cannot be re-let to the same value of your original booking.
Your £1000.00 deposit will not be refunded
Less than six months prior, 25% of total cost of reception and accommodation.
Less than three months prior, 50% of total cost of reception and accommodation.
Less than one month prior, 100% of the total cost of reception and accommodation.
6.2 We strongly advise that you take adequate cancellation insurance to cover all your costs, i.e. reception,
accommodation, flowers, stationery, entertainment, hire cars etc. with a reputable insurance company.
6.3 Final numbers are due 4 weeks prior to wedding. No refunds or credits will be given if numbers decrease
after this time.
7.1 The hotel does not permit the use of Fireworks or Sky Lanterns.
7.2 The hotel name, logo and telephone number may not be used in any advertising or publicity without prior
written consent of the hotel.
7.3 The customer is responsible for any damage caused by their guests to the hotel, grounds, or any property
or contents of the hotel and shall pay the amount required to make good the damage.
7.4 The hotel cannot accept responsibility for the property of the customer or their guests at the hotel. All
items left on the premises are at the owner's risk.
7.5 No sign, display posters or other material may be fixed to the walls of the hotel without the authorisation
of the hotel proprietors.
7.6 If you are employing the services of an outside contractor, then you will indemnify the hotel against any
loss or damage to property or death or illness or injury to any person caused by said contractor and against all
claims, costs, demands, proceedings and damages arising therefrom. The hotel reserves the right to refuse
access to any outside contractor in appropriate circumstances.
7.7 The hotel will take reasonable steps to ensure that the requirements of each reservation are met to the
best of the hotel's ability. The hotel, however, reserves the right if necessary to provide alternative services of
at least equivalent standards at no extra charge to the customer.
7.8 We have preferred suppliers which we can put you in touch with. Please ask for more details.
7.9 We permit garden games, as long as the grounds are not damaged by them (please refer to 7.3).
7.10 Any children at the venue are required to have an adult supervising them at all times. We can put you in
touch with Crèche companies if required.
7.11 All Weddings at Stanton Manor receive the following as complimentary Subject to Availability:
